What the diagnostic actually looks at

Every finding traces back to a specific balance or account in the files you upload, so you can go and look at it yourself.

Reconciliation and cash

Unreconciled accounts are the most common reason a set of books looks fine and still cannot be trusted. We look for the traces that reconciliation problems leave behind in your ledger.

  • Reconciliation discrepancy postings
  • Undeposited Funds balance, and how long it has been sitting there
  • Bank and credit card accounts that look out of step with the ledger
  • Accounts that appear to be personal rather than business

Categorization and coding

Transactions parked in holding accounts distort every report built on top of them. A profit figure that includes a large uncategorized balance is a guess wearing a suit.

Receivables and payables

    Your name, work email, and company. We send a short code to confirm the email address is yours, because the report contains financial findings and should only reach you.

    Export a few reports from QuickBooks

    The Trial Balance is the only required file. Every screen in the upload step shows you the exact menu path to export it. Adding A/P aging, A/R aging, or a general ledger extends what we can check.

    Upload and give consent to run

    Files go up over an encrypted connection. Nothing is analyzed until you explicitly consent on the final step, and we never ask for your QuickBooks login to produce this report.

Is the books diagnostic really free?

Yes. No charge, no card, no obligation. You don’t have to book a call to get the report, and you don’t have to become a client to keep it. We built it because reading someone’s actual books is a more honest starting point than a pitch about books we have never seen.

What do I need to upload?

One file is required: a Trial Balance exported from QuickBooks Online. Optional extras deepen the review, including A/P Aging Detail, A/R Aging Detail, a General Ledger for the last three months, a Balance Sheet, a Profit and Loss, and a Chart of Accounts. The upload screen shows the exact QuickBooks menu path for each one, so you do not need to hunt for them.

How long does the books diagnostic take?

About five minutes of your time to export the files and upload them. The analysis itself finishes in minutes rather than days, and the report appears in your browser as soon as it is done.

Is it safe to upload my QuickBooks data?

You upload exports, never credentials. We do not ask for your QuickBooks password and we do not connect directly to your accounting system to produce this report. Files are sent over an encrypted connection, stored on U.S.-based cloud infrastructure, and deleted after 30 days. Access is limited to the team producing your report, under role-based controls. Nothing is analyzed until you consent on the final step. Our Privacy Policy and Subprocessors pages set out the detail, including which providers are involved.

Do I have to talk to a salesperson?

No. The report is delivered in your browser and by email, and you can read it, download it, and act on it without ever speaking to us. If you want to walk through the findings, you can book a call, but nothing in the flow requires it.

Will the report tell me what a cleanup would cost?

It tells you whether your books need one and what is driving the work. Cleanup engagements start at $750 and are quoted as one fixed number after the diagnostic, based on how many months you are behind, your transaction volume, how many accounts are involved, and the condition of your balance sheet. There is no hourly billing and no open-ended scope.

Can I run this before handing my books to a tax preparer?

That is one of the most useful times to run it. Whoever prepares your return starts from your books, so problems in the ledger become problems in the filing, and fixing them in a rush is more expensive than fixing them early. Running the diagnostic first tells you whether your preparer is about to hit reconciliation gaps, uncategorized balances, or aging that does not tie out.

Does the diagnostic work with Xero?

The guided export paths are written for QuickBooks Online today, so QuickBooks files are the smoothest path through the flow. If your books live in Xero, book a call and we will review the equivalent reports with you directly.

What is a books health score?

A single number summarizing how much of your ledger looks reliable, weighted toward the problems that distort reports most: unreconciled accounts, balances parked in holding accounts, aging that does not tie out, and structural issues in the chart of accounts. It is useful as a trend line. Run it again after a cleanup and the movement tells you whether the work landed.

Is this an audit?

No, and the difference matters. An audit is a formal engagement performed under professional standards that produces an opinion on your financial statements. This is a diagnostic health check that reads the exports you provide and flags patterns worth reviewing. It carries no assurance opinion and is not a substitute for an audit, a review, or a compilation.
